This Privacy Policy explains how DeepScientist (the Service) collects, uses, and shares information when you use our website, applications, APIs, and related services.

If you do not agree with this Privacy Policy, do not use the Service.

2. Information we collect

We may collect the following categories of information:

Information you provide

  • Account information: email address, username, authentication data (including session and API token information).
  • Optional profile information: nationality, institution, degree/title, avatar, and research identifiers (for example: ORCID, Google Scholar, OpenReview, DBLP).
  • Research content: projects, files, documents, PDFs, annotations, LaTeX documents, notebooks, and related metadata you upload or create.
  • Communications: messages you send to support or administrators.

Information collected automatically

  • Usage and diagnostic data: timestamps, device information, user agent, and logs used for security and reliability.
  • Network data: IP address (where available) and approximate location derived from IP for security and abuse prevention.

Information from third parties

  • If you use Google OAuth or other integrations, we may receive limited account information from that provider.
  • If you import content from external sources (for example, arXiv), we process the paper metadata needed to fulfill your request.

3. How we use information

We use information to:

  • Provide, maintain, and improve the Service.
  • Authenticate users and secure accounts.
  • Store, sync, and share projects and files as directed by you.
  • Operate AI features, tools, plugins, AutoFigure, and controlled-server/CLI workflows.
  • Monitor performance, prevent abuse, and troubleshoot issues.
  • Communicate with you about the Service (for example: security notices and operational updates).
  • Comply with legal obligations and enforce our Terms of Service.

4. How we share information

We may share information:

  • With service providers that help operate the Service (for example: hosting, storage, monitoring).
  • With third-party integrations you choose to use (for example: AI model providers or Google login).
  • With other users, when you intentionally collaborate on a project or share content via share links.
  • For legal and safety reasons, such as responding to lawful requests or protecting rights, safety, and security.

We do not sell your personal information to advertisers.

5. AI processing and optional training

AI providers

When you use AI features, relevant inputs (such as prompts and selected context) may be sent to AI providers to generate outputs. Those providers may process the data according to their own policies. You should review the terms and privacy policies of any AI provider you enable.

  • By default, your content and AI interactions are NOT used for additional model training.
  • We will only use your content or AI interactions for additional training if we obtain your explicit consent.
  • If you provide consent, you may withdraw it at any time (and the change will apply going forward).

6. Data retention

We retain information for as long as needed to provide the Service, comply with legal obligations, resolve disputes, and enforce our agreements. Retention depends on data type and may change based on security needs and legal requirements.

7. Security

We use reasonable administrative, technical, and organizational measures designed to protect information. However, no system is completely secure, and we cannot guarantee absolute security.

8. Your rights and choices

Depending on your location, you may have rights to access, correct, delete, or export your personal information, and to object to or restrict certain processing. You may also withdraw consent where processing is based on consent (for example, optional AI training).

9. International data transfers

The Service may be operated from, and data may be processed in, multiple countries or regions depending on infrastructure and integrations you use. Where required, we take steps intended to support lawful cross-border transfers.

We may use cookies or similar technologies for authentication, security, and user preferences. You can control cookies through your browser settings, but disabling certain cookies may affect Service functionality.

11. Children’s privacy

The Service is not intended for children under 18. If you believe a child has provided personal information, contact us so we can take appropriate steps.
